NPC Policies
By purchasing our services, all clients agree to follow all policies outlined below.
Effective January 1, 2024.
General Policies
Communication
We strive to respond to all inquiries within 2-3 business days.
Clients that do not meet deadlines nor reply in a timely manner (2 business days), means that Northern Palm Canada cannot guarantee the same service deadline.
During busier seasons, please allow further delays in some responses.
Initial consultations are FREE and can be scheduled via our email at northernpalmcanada@gmail.com, the consultation is hosted over the phone.
Payment
All deposits are non-refundable.
If the agreed service date changes, we will not be reimbursed the deposit if we cannot have a team available for the changed date. However, where possible, we will reallocate your deposit to your new set date.
Late payments will result in a per day fee added to your invoice.
Cancellations
Canceled services are subject to being removed with a 30 day notice for all projects at no additional charge.
Canceled services being removed 29 or less days, will be subject to a 10% owing fee per service canceled.
Northern Palm Canada is entitled to cancel the services in return for a full refund if the day/event must be canceled. We make every effort to find a solution before needing to cancel under extreme circumstances.

In-Studio Photoshoots are subject to a $750 per day minimum
Sitting fees per dancer, includes digital gallery, and included download(s)
Prints are available, prices subject to change.

Remaining balance due 30 days prior to the date
Event Requirements:
The on site team is to be provided a meal per person

Final amount owing upon final delivery of graphic design folders

A design fee is due in advance in order to begin the design process.
Once the design is approved with a mock-up, the final amount is due up front for all merchandising up front in order to begin the merchandise order and design.
A mock-up fee/sample may apply.
No exchanges or refunds can be made on the ordered merchandising.
Payment Methods: We accept payments via e-transfer, debit or credit card. All clients will be invoiced for services using a secure Square payment link.
Photography and Videography

We recommend reaching out as soon as you have dates/details for your event.
Your consultation with the lead in the department is FREE.

Website & Graphic Design: Depends on project at hand
Logo and Apparel Design

Initial Consultation: Discussing your vision, brand identity, and specific requirements.
Concept Development: We will provide 2-3 initial design concepts based on your vision and feedback, additional designs will be subject to further fees.
Final Design: Once a concept is chosen, we will refine it and provide the final design files. Upon delivery, there is no ability for refund or change to the curated design.

Revisions: Up to three revisions are included in the design packages. Additional revisions will be charged at an hourly rate based on the designer. The client will be notified before reaching such additional fees.
Approval: Final designs will require written approval from the clientele before the files are delivered. Email and Messages are accepted as written approval.
Social Media and Graphic Design

Strategy Meeting: Initial strategy meeting to understand your goals and target audience.
Content Plan: We will develop a content plan and schedule based on the strategy.
Delivery: Content will be delivered according to the agreed schedule.

Social Media Revisions: No changes/design approvals will be made to the social media accounts. All posts are at the discretion of the team member working on the account.
Wedding Services

Packages: We offer customizable wedding design and media. Inquiries for pricing, details on items and packages are available upon request.
Additional fees may apply for travel and hotel accommodations, all subject to discussion upon the initial consultation.
A written digital contact will be provided to protect the agreement for both the couple and Northern Palm Canada.
All wedding packages will have a point of contract to ensure a memorable and smooth media experience.
Consultation: We offer a free and thorough consultation to understand your specific needs and preferences to achieve your overall concept wishes. All pricing and service requirements will be outlined between a contract for the client to sign. We will assign the best team member for your event.

Professional Media Turnaround Time: Wedding photos and videos are delivered within 4-6 weeks.
Revisions: Two rounds of revisions for videos are included for wedding videos.
Additional changes may incur extra costs.
No raw files will be shared.
Files will be shared digitally for a set time period, clients are encouraged to download files right away.
Day of Content: Wedding photos and videos and the included 1 reel, are delivered within 24 hours of the wedding day.
Media for Dance Studios

Pre-Event Meeting: Discussion of the event schedule, specific moments to capture, and any special requests.
On-Site Work: Our team will arrive early to set up and ensure all equipment is functioning properly.

Turnaround Time: Media from dance events is delivered within 2-4 weeks.
Revisions: Studios will be asked to confirm that all titles are correct before sharing the final links for parent viewing/downloading.
No edits of routines for photographer and videographer are permitted.
For commercial and concept studio projects, a 2-3 revision will be permitted. Additional changes/edits will be subject to an hourly editing rate.

Northern Palm is not responsible for misinformation between clientele and their clients and/or members. We will put forward the best team member for your event and will ensure all tasks are outlined within a contract.
Priority to hire employees and contractors as well as to provide services to clientele regardless of race, religion, color, national origin, sexual orientation or gender.
Absolutely no verbal, physical abuse or threats will be tolerated by any party. Immediate action will be taken upon such events.
Northern Palm prohibits all forms of harassment of any team member and client based upon that person’s race, colour, religion, ethnicity, national origin, age, disability, sexual orientation or pregnancy. Any and all complaints regarding harassment will be investigated and addressed.
Bullying and Harassment
Ownership: All final designs, photographs, and videos remain the property of Northern Palm Canada until full payment is received.
Usage Rights: Upon full payment, clients are granted usage rights for personal or commercial use as agreed upon. We reserve the right to use work samples for our portfolio and marketing purposes unless otherwise agreed.
Intellectual Property
Client Information: We respect your privacy and ensure all client information is kept confidential.
Data Security: Personal data is stored securely and is not shared with third parties without consent.
Privacy Policy
By hiring Northern Palm Canada, you agree to the media and release waiver that permits the following:
Legal
Photographs, Videos and Recordings
I hereby grant permission to Northern Palm Canada and its representatives to take photographs or videos of the attendees, as consented in the agreement below. The agreement is agreed to on behalf of the participants and their consent of media release. The “client” is responsible to notify and protect their rights in regards to having media at the desired location for the “business” Northern Palm Canada.
I further grant to Destiny Dance Competition and their representatives the right to reproduce, use, exhibit, display, broadcast and distribute and create derivative works of these images and recordings in any media now known or later developed. I acknowledge that Northern Palm Canada owns all rights to the images and recordings.
Waiver, Indemnity and Release
I hereby waive any right to inspect or approve the use of the images or recordings or of any written copy. I further waive all moral rights. I also waive any right to royalties or other compensation arising from or related to the use of the images, recordings, or materials. I hereby release, defend, indemnify and hold harmless the producers from and against any claims, damages or liability arising from or related to the use of the images, recordings or materials, including but not limited to claims of defamation, invasion of privacy, or rights of publicity or copyright infringement, or any misuse, distortion, blurring, alteration, optical illusion or use incomposite form that may occur or be produced in taking, processing, reduction or production of the finished product, its publication or distribution. I am 18 years of age or older and I am competent to contract on behalf of my students and my studio. I have read this document before signing below, and I fully understand the contents, meaning and impact of this consent, waiver, indemnity and release. This consent, waiver, indemnity and release is binding on me, my heirs, executors, administrators and assigns.
